Provide administrative support to the Vaccine R&D organization which will include support of the Athens Site Head and Global Vaccine R&D Assay Head. Own and manage key administrative processes for the Vaccine R&D organization, the R&D site and in some cases across sites. Work on special projects for the department, especially around organizational and efficiency aspects (Operational Excellence). Provide support to Vaccine R&D department and staff as needed.

Supports the activity of a large R&D site (60 plus) with complex activities in terms of number., level and diversity of stake holders. Diverse activities ranging from technical (IBC) to financial (CAPEX) to communication. Cross site activities and support of a global function also add to the complexity of the job.

Duties & Responsibilities:

  • The holder of the position directly manages several critical site administrative processes

  • Standing secretary of the site wide Institutional Biosafety Committee: calls meetings, prepares agendas and meeting minutes, interfaces with stakeholders, identifies and implements process improvements. Manages the Biological Use Authorization process and interfaces with requestors and regulatory affairs for permitting. The scope of this activity encompasses all Athens based functions (Vaccine R&D, Clinical R&D, Ops), Gainesville and Clinical sites (Colbert, Missouri…)

  • Manages the Current CAPEX process including preparation of wish lists, prioritization, prosecuting approvals and managing financial processes associated (requisitions, POs…etc). Also collaborates with Engineering to support the management of the financial processes associated with Strategic CAPEX.

  • In collaboration with Duluth functions (Legal and IP, Finance) manages the flow of contract development, approvals, financial management for Athens and Gainesville sites.

  • The position also is part of the Athens site management team and in that area provides support for financial management, Quality systems, Operational Excellence, IT systems, functional planning through leading process improvement projects and participating in the preparation of reports

  • The position provides administrative support to Athens Vaccine Site Head and Global Head of Vaccine Assay R&D through planning and organization of travel, meetings and agenda management

  • The position provides required administrative support to the Vaccine R&D team of over 60 scientists, managers and technicians such as travel coordination when needed, meeting organization, event planning and execution.

  • The position plays a critical role in our compliance area by supporting the implementation of Quality system processes, organization of training activities, preparation of audits and inspections.

  • The position also supports the management of documents (controlled or general): preparation of reports, management of signatures and approvals, filing in appropriate document management systems (currently R&D Portal).

  • The position is also a main interface with the Site services area to ensure smooth operation of R&D with site services: maintenance of common areas, security, HSE

  • Manages Georgia Vaccine R&D Communication tools and activities including coordination with Operation Site that will foster continual site-wide departmental and site communications regarding Vaccine R&D and its interaction with the site. Key person for events, interface with NA communication, site SharePoint. The position is the resident SharePoint expert.


  • High School Diploma required; bachelor's degree from an accredited institution preferred.

  • Specialized customer service and administrative knowledge/skills

  • Minimum of seven (7) years administrative, customer service and/or relevant business experience.

  • Demonstrated excellent written and verbal communication skills.

  • Excellent working knowledge of Microsoft Office (Word, Excel and PowerPoint) and data entry experience.

  • Demonstrated high degree of accuracy, problem-solving and problem resolution as well as attention to detail. Ability to meet deadlines.
